How often we check
Each product is re-checked on a schedule that follows how it sells. A product that sells often is checked more often; one that hasn't sold in a while is checked less, until it sells again.
When orderedChecked when an order comes in, before we buy
About dailyWhile the product is selling
About weeklyWhile it is quiet
Shared refreshAny time a NinjaBuy shopper opens the same listing
| When | What happens |
|---|---|
| An order comes in | We read the listing before we buy, every time, so we never pay a price you haven't seen. |
| About daily | While the product is selling: it has had orders recently. |
| About weekly | While it is quiet. A new order moves it back to daily. |
| Any time, for free | When anyone on NinjaBuy opens the same listing (see below). |

Sync rules
Rules decide what a check does to your store. Set them once on the Sync rules tab for all your products, and change one product's rules from its own page. A change applies at each product's next check.
Your priceLanded cost + 40%, rounded up to a whole dollar
When the cost risesUp to 15%: reprice. More: pause and ask me
When the cost fallsKeep my price
When the seller sells outStock to 0

Minimum marginNever below 20%; pause instead
- Your price
- Your markup on the landed cost, as a percent or a fixed amount, then rounded: up to a whole unit, to .99, or not at all. Applied when you import, and again whenever the cost changes. Landed cost is the seller's price plus our fees and the shipping estimate, as the importer works it out.
- When the cost rises
- A rise up to your limit reprices to keep your markup, without asking you. Above the limit, choose: pause the listing and ask me, reprice anyway, or keep my price.
- When the cost falls
- Keep my price (your margin grows), or lower my price to keep the same markup.
- When the seller sells out
- Stock to 0: the listing stays up with nothing to buy and comes back by itself when the seller restocks. Or pause the listing on every channel until you bring it back.
- When a variant disappears
- Hide that variant and keep selling the rest, or pause the product. A listing the seller removed altogether is always paused, and we tell you.
- Minimum margin
- The floor every automatic change has to respect. If a reprice would leave less, the product is paused instead, and it waits for you.
How changes reach your channels
We write price and stock to your store, and your store passes them on to the channels connected to it.
| Your store | How the change travels |
|---|---|
| Shopify | Written to the Shopify product and its variants |
| eBay | Written straight to the eBay listing when you connect eBay to NinjaBuy. Otherwise through Shopify: its eBay app updates the listing from the Shopify product |
| Amazon, TikTok Shop | Through Shopify: their Shopify apps update the listing from the Shopify product |
| WooCommerce, Wix | Our plugin or app writes it to the product |
Sync only touches price, stock and whether a variant or listing is live. Your titles, descriptions, photos, tags and collections stay as you made them.
When an order is already in
A customer can buy in the minutes between a seller's change and our next check. That is why we read the listing again before buying every order.
- The price is the same, or lower
We buy. If it is lower, the difference goes back to your balance.
- The price rose
The order is held, not bought, and we tell you the new price. Pay the difference and we buy, or cancel the order and what you paid for it goes back to your balance. Your rule then reprices or pauses the product for the next customer.
- The seller sold out, or removed the variant
The order is held and we tell you, and its stock goes to 0 so no one else buys it meanwhile. Cancel it with your customer and what you paid goes back to your balance.
A held order waits for you; nothing is bought until you decide. What holds an order, and how to release it: held orders.
The change log
Every change sync made on your store is written down: the product, what we saw at the seller, and what we did about it. Changes that wait for you are marked Needs you and sit at the top.

Undoing a change
Set the product's price or stock back on your store, or change its rule. A manual price stays until the cost moves again; at that point your rule decides.
What sync costs
Nothing, for every product you import. There are no plans sold by product count: we earn on the orders we buy and ship. See Fees.
